Privacy Policy

Effective October 14, 2026

1. Who We Are

FloorCoatingOps ("FCO", "we", "us") is a business management platform for floor coating and home service contractors, available at app.floorcoatingops.com. This policy explains what information we collect, how we use it, and the choices you have.

2. Information We Collect

  • Account information: name, email, phone, and business details you provide when you sign up.
  • Customer Data: information you and your team enter about your business and your customers, such as contacts, quotes, invoices, jobs, appointments, and messages.
  • Payment information: processed by Stripe. Card and bank account numbers are collected and stored by Stripe, not on our servers. Bank payment mandates authorized by your customers are stored with Stripe and referenced by the Service.
  • Integration data: data exchanged with services you connect, such as QuickBooks Online (described below).
  • Usage and device data: log data, IP address, and product usage collected to operate and secure the Service.

3. QuickBooks Online Integration

If you connect QuickBooks Online, we access your QuickBooks data through Intuit's APIs solely to provide the accounting features you request, such as creating customers, vendors, projects, invoices, payments, and bills that mirror activity in FCO, and reading your chart of accounts so you can choose where entries post. We do not sell QuickBooks data, use it for advertising, or share it with third parties except as needed to operate the Service. OAuth tokens are stored encrypted, and disconnecting the integration in FCO or from your Intuit account revokes our access. When access is revoked we delete the stored tokens.

4. How We Use Information

We use information to provide, secure, and improve the Service; to process payments and sync accounting records at your direction; to send service communications; and to comply with legal obligations. We do not sell personal information.

5. Service Providers

We rely on vetted service providers to run the Service, including cloud hosting and databases (Vercel, Neon/AWS, United States), authentication (Clerk), payments (Stripe), accounting (Intuit QuickBooks, when you connect it), and communications providers for SMS, voice, and email you send from the platform. Providers receive only the data needed to perform their function and are bound by their own security and privacy obligations.

6. Security

Data is encrypted in transit (TLS) and at rest. Integration credentials such as QuickBooks OAuth tokens are additionally encrypted at the application layer. Access to production systems is restricted and logged. No method of storage or transmission is 100% secure, but we work to protect your data with industry-standard controls.

7. Data Retention and Deletion

We keep Customer Data while your account is active, and we keep it after cancellation or a billing lockout. Your records, and your customers' job and payment history, stay available if you come back or need them later. We do not delete Customer Data automatically. The account owner can export it at any time from Billing. You may ask us in writing to delete your account data, and we will do so unless the law requires us to keep it or we need it to resolve a dispute or enforce an agreement.

8. Your Customers' Information

Contractors using FCO are responsible for the customer information they store in the Service and for honoring their customers' communication preferences. We provide opt-out handling for SMS and email sent through the platform; how mobile opt-in data and SMS consent are handled is set out in section 9 below. If you are a customer of a business that uses FCO and have questions about your information, contact that business directly or reach us at the address below.

9. SMS/Text Messaging and Mobile Opt-In Data

Mobile information and SMS consent are never shared or sold. No mobile phone number, SMS opt-in, or consent record collected by FloorCoatingOps or by a contractor using FloorCoatingOps is shared or sold to third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from every other category of information sharing described in this policy.

The only exception is delivery itself. A mobile number is passed to the subcontracted communications providers we use to carry a message — our SMS gateway and the receiving mobile carrier — and only for the purpose of delivering the message you asked for. Those providers act on our instructions, are contractually restricted to that purpose, and may not use the number for their own marketing. No other sharing of mobile opt-in data occurs.

A number you give a contractor on their FloorCoatingOps quote request or estimate booking form is stored in that contractor's own account so they can reach you about your project. FloorCoatingOps sends those texts on the contractor's behalf and identifies itself by name in every message. Your number is not visible to other contractors on the platform, is not used for advertising, and is not sold.

When you tick the SMS consent box on one of those forms we record the mobile number you entered, the date and time you consented, and the exact wording of the disclosure that was on screen, so there is a record of what you agreed to. If you agree by phone or in person instead, we record the same things: the date and time, how you gave consent, and the exact words that were read to you.

Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop receiving texts, or HELP for help. The full messaging terms are in our Terms of Service.

10. Changes

We may update this policy; material changes will be communicated through the Service or by email. The effective date above always reflects the current version.
